PRIVACY POLICY

ISID respects the privacy of every individual who visits the ISID web site (the “Web Site”). This Privacy Policy outlines the information ISID will collect and how we will use that information. This Policy will also instruct you on what to do if you do not want your personal information collected or shared.

The International Society for Infectious Diseases, Inc. and its subsidiaries, divisions, and affiliates (collectively, “ISID”, “Society”, “we”, “us”, and “our”) recognize the importance of protecting the privacy of the personal information you provide to us. Accordingly, we have developed this Privacy Policy (the “Policy”) so that you can make educated and informed decisions about the personal information that you entrust to us by engaging our services on the websites, social media, email exchanges, mobile apps, and other online services on which this Policy is posted or linked (the “Service”), and understand how we collect, use, disclose, and otherwise manage this information.

Your use of the Service is conditioned upon your agreement to this Policy and our Terms of Service. Before using our Service, please read this Policy carefully as it contains important information on who we are and how and why we collect, store, use, and share your personal information. This Policy also explains your rights in relation to your personal information and how to contact us or supervisory authorities in the event you have a complaint.

This Policy is written in the English language. We do not guarantee the accuracy of any translated versions of this Policy. To the extent that any translated versions of this Policy conflict with the English language version, the English language version of this Policy shall control.

ISID runs a number of events and programs, including but not limited to the Program for Monitoring Emerging Diseases (“ProMED-mail”), which is an internet-based reporting system dedicated to rapid global dissemination of information on outbreaks of infectious diseases and acute exposures to toxins that affect human health, including those in animals and in plants grown for food or animal feed. ISID also offers a number of published academic journals in digital or printed format (“Journals”). For purposes of this Policy, the “Service” shall include these journals, events, and programs.

The Service is predominantly meant for individuals who are eighteen years of age and older; however, students who are at least thirteen years old may access and use the Service with the consent, supervision, and involvement of a parent or legal guardian for strictly non-commercial, academic and research purposes. The Service may use mechanisms to prevent the registration and use of the Service by individuals under the age of thirteen.

ISID will never knowingly request or collect personal information from any child under the age of thirteen. If you are under thirteen years old, please do not provide your information on our Service. Upon notification that a child under thirteen years of age has provided us with personally identifiable information, or that a child above thirteen years of age has provided us with personally identifiable information without the consent of a parent or legal guardian, we will delete said child’s personally identifiable information from our records. If you believe we might have any information from a child, or if you are a parent or legal guardian who has not consented to your child’s use of the Service, please contact us.

There are a number of different reasons for which ISID collects and processes your personal data. When we collect your personal data, we will explain why we are collecting the information from you. We will also always make it clear which data it is necessary for you to provide and which is optional.

Personal Information You Give to Us

ISID will collect personal information from you directly when you interact with our Service, contact us, create an account, subscribe, sign up to receive offers or emails from us, attend or present at our events, share abstracts with us, or order or purchase our products, as discussed in greater detail below.

Information We Obtain Indirectly or Automatically

We may also collect certain information about you automatically through our use of cookies and similar technologies. We may combine this with data that we already have collected about you. Such collected data could include contact details (such as email address) and previous purchase history or interests.

As discussed in greater detail below, ISID collects the following categories of personal information: (1) contact information, including your name, email address, occupation, telephone number, and salutation; (2) demographic information, such as your age, gender, nationality, and place and date of birth; (3) professional information, including your employer information (i.e., name, city, type of workplace, department, and country location), area of expertise, job level and type, and abstract information, such as budget and letter of reference, project description, research plan, and information used to prove your age or identity; (4) event presenter/attendee information, including photographs, video or audio recordings, attendee evaluations, and event participation information; (5) authentication information, such as username and password; (6) comments, reviews, and suggestions; (7) personal preferences including product preferences, online preferences, and interests; (8) online behavior information including online activity, preferences, and time spent viewing features; and (9) device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, general geolocation, information about how and when you use our Service and other technical information.

a. Membership

When you become an ISID member, we collect information about you, including but not limited to, your name and email address. We ask members to voluntarily provide additional information in their membership profile, such as their occupation, mobile phone number, and their employer’s name, city, and country location. Members may ask us to change, add, or remove personal information that we have collected from them at any time by emailing us at [email protected].

We process your personal information for membership administration; to deliver member benefits to you; and to inform you of ISID-related events, content, and other benefits or opportunities associated with your ISID membership. ISID may also use this information to help ISID understand our members’ needs and interests and to better tailor our products and services to meet them. To offer you the best possible membership experience and to inform our business decisions, we’ll combine and analyze data captured from across the ISID and data from publicly-available lists we have.

We process members’ personal information for the performance of our contract with such members or to take steps at a member’s request before entering into a contract with said member.

b. Events and Conferences

ISID hosts events throughout the year. These include in-person or hybrid conferences like the International Congress on Infectious Diseases as well as live web conferences and pre-recorded webcasts and podcasts, which may display information such as participants’ names, country of residence, institutional affiliation, and degree  (collectively “events”).

If you register for one of our events, we will note that you have attended the event. We will also collect your name and contact information; information on your area of expertise; area of work; type of workplace; job level; if you are an early career investigator; and if you have submitted an abstract, which we will store in our database(s) and use to provide you with information and services associated with the event. We process this information to fulfill the order you have made to receive the event services. There are also a number of optional fields on the event registration form that you may choose to provide, which include your department; U.S. state, if applicable; mobile phone; email address; and social media handles.

If you are a presenter at one of our events, we will collect information about you including your name, employer and contact information, abstract information, and photograph, and we may also collect information provided by event attendees who evaluated your performance as a presenter. We may also make and store a recording of your voice and likeness in certain instances and keep a record of your participation in ISID events as an attendee or presenter. Information about your participation in events may be used to provide you with certain services (such as, for example, keeping track of your continuing education credits, or to tell you about other events and publications). We collect, store, and process the foregoing information for our legitimate interests or those of a third party; for example, we process information to organize events and understand user needs and interests to better tailor our products and services to meet such needs.

In association with attending one or more of our conferences, you may have the option to download the “ISID Events App” or a similar application to help you navigate the conference and plan your schedule. The ISID Events App may require the device identifier associated with your device but does not collect or use any other personal data.

Some of our events are sponsored. ISID may provide an attendee list to co-organizers of our events. If you do not wish to receive information from us, from sponsors, or exhibitors, you can express your preferences when you register for events or you may contact the ISID directly at [email protected]. We give attendees a choice not to share personal information or receive marketing messages from sponsors and/or exhibitors or from the ISID.

c. Publications, Newsletters and Website

In addition to the Journals, ISID offers a large number of publications for our users which promote ISID, its services, and may also include information on other organizations and link to news outlets or publications from government websites. In addition to producing original content, ISID also subscribes to news feeds and blogs produced by others, which we often link to from our website. This means you may find yourself on the ISID website or reading an email from the ISID publications team and we will offer you a link to another organization’s website where you will find content that we find relevant and useful to you. At these times, you will be leaving the ISID website. The ISID is not responsible or liable for content provided by these third-party websites or personal information they may happen to gather from you.

To receive ISID newsletters by email, you will need to sign up to receive such newsletters and provide us with at least your first name and last name, an email address, and the country in which you live. The ISID does not share this information with any third party other than to store the information in our cloud-hosted databases. We process your personal information for the performance of our contract with you and to fulfill your request to receive our publications. You may at your own option choose to subscribe to ISID news and updates which may be considered direct marketing.

We will use your personal data, preferences and details of subscriptions and event registrations to keep you informed by email and online about relevant Society news, events and programs. You are free to opt out of hearing from us by any of these channels at any time. We provide you with these publications for ISID’s and your legitimate interests.

You may manage your ISID subscriptions by subscribing or unsubscribing at any time. Please note that if you have set your browser to block cookies, this may have an impact on your ability to unsubscribe. If you have any difficulties managing your email or other communication preferences with ISID, please contact us at [email protected].

If you subscribe to ProMED-mail, you must provide us with first name, last name, email, country of residence, city, primary occupation, and institution. ISID uses this information to ensure that we are providing relevant information. ISID does not share this information with any third party other than to provide the services. We process your personal information for the performance of our contract with you and to fulfill your request to receive this subscription.

We also conduct surveys and may use your feedback to help improve our services. Participation in surveys is voluntary.

d. Grant Applications, Abstract Submissions

ISID offers grants, conducts competitions and provides opportunities for the presentations of abstracts. In connection with these activities, ISID may collect and processes information such as your name, contact email, affiliation, project description, research plan, curriculum vitae, budget and letter of reference, and a copy of your passport, which may include sensitive personal information such as your place of birth, nationality, and racial or ethnic origin, to prove your age or identity. We may also collect bank information in order to transfer any awarded grants to you, but we do not otherwise collect any financial information in combination with any security or access code, password, or other credentials that may be required to access such information and will never request such codes, passwords, or credentials from you.

We collect, store and process your personal information for our legitimate interest in running competitions and your legitimate interest in presenting your abstract.

e. ProMED “Submit Info” Button

ISID collects information you voluntarily submit regarding infectious disease outbreaks and other global events and occurrences, including but not limited to chemical exposures and non-infectious disease outbreaks, to ProMED.

ISID collects your name, email, your description of the information, and your privacy preferences. Your affiliation is optional, and you may choose whether you want to be quoted and whether you want the information you submit to us attributed to you. ISID uses this information to provide you with regular posts from ProMED-mail and emails and to analyze reports of infectious disease outbreaks. We rely on a legitimate interest basis for collecting, storing and processing this information.

You may also choose to purchase goods or services from ISID or make a donation to ISID. We use a third-party, PCI/DSS-compliant payment processing service to collect payment information, such as a valid credit card number, type, expiration date or other financial information, to process payments for customer transactions. This information is required to be submitted as part of our checkout process. We do not have access to, and do not process or store, any of this financial information; it is submitted directly to our third-party payment processor which uses the information to process your payment.

Unless you are a job applicant, employee, owner, director, officer, or contractor of ISID, or as otherwise stated in a separate agreement or this Policy, ISID does not collect sensitive personal information such as your driver’s license, state identification card, or social security number; your account login, financial account, debit card, or credit card number in combination with any required security or access code, password, or credentials allowing access to an account; your religious or philosophical beliefs, or union membership; the contents of your mail, email and text messages, unless we are the intended recipient of the communication; your genetic data; your biometric information for the purpose of uniquely identifying you; and personal information collected and analyzed concerning your sex life or sexual orientation. We ask that you neither send nor disclose this information to us.

As discussed above, we only process certain sensitive personal information from you if you consent to the processing of such information and are applying to receive a grant from ISID. Otherwise, such sensitive personal information is not processed for the purpose of inferring characteristics about any individual, user, or consumer; is only used to provide grants as reasonably expected by you; and is only disclosed with your consent except as needed to effectuate the purpose for which it was collected. We do not otherwise sell, rent, trade, lease, or profit from any sensitive personal information, and we ask that you not send nor disclose any other sensitive personal information to us that is not necessary for the purpose of applying for a grant.

ISID only collects and processes the minimum amount of personal information from you that is necessary to the purposes of our information processing activities and retains such information only if required to fulfill such purposes, unless otherwise required by law. At the end of the retention period, your data will either be deleted completely or anonymized so that it can be used in a non-identifiable way for statistical analysis and strategic planning. Your personal data is stored by ISID on its servers located in the United States. ISID retains data for the duration of the customer’s or member’s business relationship with the ISID and for a period of time thereafter to allow members to recover accounts if they decide to renew, to analyze the data for ISID’s own operations, and for historical and archiving purposes associated with ISID’s history as a membership association. For example, we may retain information regarding previous grants and grant recipients to maintain a historical account and record of the research that ISID has funded. Our information processing activities include conducting our business, processing orders, personalizing your experience on our website, marketing, customer communications and support, user verification, payment processing, quality management services, Service maintenance and improvements, and complying with legal requirements. We conduct such processing operations to perform the contract that you have with us, or to take steps at your request before entering into a contract, and for our legitimate interests or those of a third-party. A legitimate interest is when we have a business or commercial reason to use your information, so long as this is not overridden by your own rights and interests.

Where applicable, if ISID intends to further process your personal information for a purpose other than that for which the personal information was initially collected, ISID shall, prior to such processing, provide you with any relevant information on such additional purpose, and, to the extent required by applicable law, obtain your consent for this. ISID does not trade, rent, or sell your personal information to third parties, share your personal information with third parties for cross-context behavioral advertising, or process it for targeted advertising or consumer profiling, and in the preceding twelve months we have not sold or shared any personal information. Except as provided in this Policy, or as otherwise stated at the time personally identifiable data is gathered, we will not provide any personally identifiable information to third parties.

We may share or disclose, and have within the preceding twelve months shared or disclosed, your personal information for the following limited purposes:

  • Third Parties Providing Services on Our Behalf. We may share information with vendors, suppliers, and similar third parties (collectively, “Service Providers”) who perform services and functions on our behalf to support our interactions with you. For example, we may share your contact information with the publisher of the Journals or other ISID content to permit these providers to deliver the Journals or content to you. Our Service Providers may also help us facilitate or improve the Service, provide customer support, perform website-related services (e.g., without limitation, maintenance services, database management, web analytics, and improvement of the Service’s features), or assist ISID in analyzing how the Service is used. These Service Providers have access to your personal information only to perform these tasks on ISID’s behalf and do not have the right to use personal information we share with them beyond what is necessary to assist us. Additionally, these Service Providers must adhere to confidentiality, security, and legal obligations in a way that is consistent with this Policy and any applicable law.
  • Aggregate Information. Any aggregated information shared in this way will not contain any personally identifiable information, and ISID is not limited in its use of aggregate information that does not permit direct association with any specific individual, such as the number of users of our services and the geographic distribution of our users.
  • Your Consent to Have Your Personal Information Shared. ISID may share personal information with third parties when we have your consent to do so, such as in connection with ISID-hosted and ISID co-sponsored conferences as described above. If you agree to have your personal information shared with a third party, your personal information will be disclosed to the third party and will be subject to the privacy policy and business practices of that third party. To the extent that we obtain your consent to process your personal information, you may withdraw this consent at any time by emailing us at: [email protected].

While we have not shared or disclosed your personal information for the reasons listed below within the last twelve months, we may also share or disclose your personal information for the following purposes:

  • Legal Disclosure. ISID cooperates with government and law enforcement officials and private parties to enforce and comply with the law. Accordingly, we may disclose any information about you to government or law enforcement officials or private parties as ISID, in its sole discretion, believes necessary or appropriate to enforce an agreement we have with you, to respond to claims and legal process (including but not limited to subpoenas), to protect the property and rights of ISID, a user of the Service, or a third party, to protect the safety of the public or any person, to take emergency action, or to prevent or stop activity ISID considers to be or to have the potential to be, illegal, unethical, or legally actionable. In addition, ISID may disclose information about you to counter or prevent any malicious access or use of the Service or to prevent harm or loss to any user of the Service.
  • Transfer in the Event of Sale or Change of Control. ISID may provide your personal information to a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution or other sale or transfer of some or all of ISID’s assets, whether as a going concern or as part of bankruptcy, liquidation or similar proceeding, in which personal information maintained by the Service is among the assets transferred. In such a case, unless prohibited by applicable law, your information would remain subject to the privacy policy applicable at the time of such transfer, unless you discontinue use of our Service.

The security of your ISID account relies on your protection of your user profile information. “Personal data” means any information relating to an identified or identifiable natural person. 

  1. Request to Access and Data Portability. You may request a copy of your personal data shared with us as well as confirmation as to whether or not personal data concerning you is being processed, access to your personal data, and information on the purposes of the processing, the categories of personal data concerned, the recipients or categories of recipient to whom the personal data have been or will be disclosed, and the period of time the data will be stored. We may charge a reasonable fee to cover the administrative costs of providing you with a copy of your personal data.
  2. Request to Rectify or Complete. If you notify us, or we otherwise become aware, that the personal data we hold is inaccurate, we will not use it, and will not allow others to use it, until it is corrected. You can ask us to correct or complete our record of your personal data by contacting us at any time. To the extent possible, we will inform anyone who has received your personal data of any corrections.
  3. Request for Erasure. You may, in certain limited circumstances where the processing is not necessary in the context of the services we provide to you, ask to have the personal data we directly or indirectly process deleted or removed.  If the request is founded, we will try to do so promptly, and, to the extent possible, will inform anyone who has received your personal data of your request.
  4. Request for Restriction of Processing. You may request that we limit the way in which we process your personal data where (i) you contest the accuracy of the personal data we have for you, (ii) you believe our processing of your personal data is unlawful (but you oppose the erasure of your personal data and prefer that our processing be restricted instead), (iii) we no longer need your personal data but you require such personal data for the establishment, exercise or defense of legal claims or (iv) you have objected to our processing pending the verification of our legitimate grounds for processing. If the request is founded, we will try to do so promptly, and, to the extent possible, will inform anyone who has received your personal data of your request.
  5. Request for Data Portability and Transfer. You may request to receive a copy of your personal data, and have it transferred to another controller, where technically feasible, in certain limited circumstances, where a) you provided the data to us, b) our processing is based on your consent or is necessary to fulfill a contract with you, and c) our processing is automated. We may refuse your request if these criteria are not met.
  6. Objection to Processing. You have the right to object, on grounds relating to your particular situation, at any time to processing of your personal data. If we have sufficiently compelling legitimate grounds for processing your personal data, or we need your data to establish, exercise or defend legal claims, we may continue to process it. Otherwise, we will stop using your personal data. You may also object at any time to your personal data being processed for direct marketing, and we will stop processing the data for such purposes.
  7. Withdrawal of Consent to Processing. Where we have relied on your consent as the legal grounds for processing, you may withdraw your consent at any time. Withdrawal does not invalidate the consent-based processing that occurred prior to withdrawal.
  8. Automated Individual Decision-making. We do not currently engage in automated individual decision-making. However, in the event we ever do so, we will inform you of such change and you may request not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects that concern you or that similarly significantly affect you, except were the automated individual decision-making is necessary for entering into, or the performance of, a contract between you and us; is authorized by law; or is based on your explicit consent.

You may contact us at any time where you believe that we are in breach of data protection laws or where you wish to make a complaint about our data processing. Furthermore, if you believe that our processing of your personal data is in breach of data protection laws, you have the right to lodge a complaint with the relevant data protection supervisory authority (i.e., in the U.K. or Member State of your habitual residence, place of work or place of the alleged infringement), if you are of the opinion that any of your personal data is processed in a manner constituting an infringement of the U.K. or E.U. GDPR or where you believe that we have not resolved an issue you have raised with us.
